OPSEU/SEFPO represents approximately 180,000 members across Ontario. They are full- and part-time workers, young and old. They trace their ancestry to all parts of the globe – as diverse a group as you could imagine. Our members work for the Ontario government, inside community colleges, for the LCBO, in the health care sector, and they are employed in a wide range of community agencies within the broader public sector.

OPSEU/SEFPO is currently hiring for a temporary staffing pool to fill possible temporary opportunities for two (2) positions (Clerk Typist and Secretary).  The number of positions to be filled has not yet been determined at this time.  Successful candidates will remain in the pool for a period of four (4) months and will be called if a temporary vacancy becomes available.

Reporting to: Supervisor, Various Units

Salary: $1,297.00 to $1,347.00 per week (Range 4 – Support)

Working Conditions: As provided in the OPSSU/OPSEU/SEFPO Collective Agreement

Principal Duties:

Provides clerical support services to a Unit:

  • Maintains and updates records from filing systems and/or databases
  • May track and code invoices
  • Types reports, agreements, composes letters and acknowledgements
  • Assists in organizing materials for distribution
  • Sets up and organizes filing systems
  • Responds to enquiries
  • Proofreads and corrects material for correct grammar, format, completeness and content
  • May liaise with staff in other areas of the organization and with outside contacts to facilitate work of the Unit
  • Receives and takes message and directs incoming calls and transmits to proper individual
  • Determines needs for supplies for Unit and may order supplies
  • Compiles summary reports from information as requested
  • Performs other related duties as assigned

Qualifications:

  • One-year Community College Certificate/Diploma and two years related work experience (or an equivalent combination of experience and education)
  • Knowledge of basic principles of office management
  • Knowledge of OPSEU/SEFPO organization, structure and policies
  • Understanding of and commitment to labour movement and social democratic philosophy
  • Understanding of and commitment to the principles of anti-racism, equity, diversity and inclusion
  • Requires intermediate PC skills and knowledge of relevant software packages
  • Requires tact and diplomacy skills

Principal Duties:

Provides secretarial and clerical support services to a Unit:

  • Responds to general enquiries
  • Takes minutes or recordings of meetings in the absence of an administrative assistant
  • May organize large mail out of resource materials as requested
  • Books appointments and meetings for the Unit and coordinates special conferences as required
  • Produces agenda and minutes for Unit meetings
  • Maintains and updates records for filing systems and/or databases
  • Compiles summary reports from information as requested
  • Prepares documents, reports, briefs, composes letters and acknowledgements
  • Proofreads and corrects prepared materials for correct grammar, format, completeness and content
  • May make arrangements for meetings and may assist in organizing conferences including registration
  • Assists in organizing materials for distribution
  • Receives and takes messages and refers to proper individual
  • Maintains and updates procedures manuals of own position
  • May train others in their area of responsibility
  • Performs other related duties as assigned

Qualifications:

  • Two-year Community College Certificate/Diploma and three years of related work experience (or an equivalent combination of experience and education)
  • Knowledge of principles of office management
